What 'Prepared' Actually Means for Every Person on Your Team

When you tell your team to come prepared, what do you mean? Do they know what you mean? Because the answers in that room are wildly different.

Your drummer thinks prepared means he listened to the song in the car. Your vocalist thinks it means she knows the melody. Your keys player thinks it means he has a general feel for the song. Meanwhile, you're imagining something much more specific — and nobody told them.

Preparation is a standard. And if you haven't defined the standard, you'll spend every rehearsal closing the gap between what people brought and what you needed.

HERE'S WHAT PREPARED MEANS BY ROLE:

VOCALISTS: Know the melody, your entrances, your lyrics, any harmonies you've been assigned, and when to lead versus blend. Not just the chorus — the whole song.

MUSICIANS: Know the chords, Nashville numbers if your team uses them, the key, the BPM, the song form, any signature hooks, the dynamics, and — most importantly — how the song will actually be arranged and led. Not the album version. Your version.

WORSHIP LEADER: Know the spiritual direction for the service, your transitions and spoken moments, any prayer moments, and the arrangement decisions you've made. You carry the full picture.

SOUND TECH: Know the stage layout, every input needed, monitor needs for each person, the lead vocal, and the service flow. This information comes from you — not from figuring it out when everyone arrives.

MEDIA TEAM: Know the setlist, the correct lyric versions, the intended arrangement, the song form, transitions, and any special media or service cues.

THE KEY INSIGHT:

If you want volunteers to come prepared, you have to give them enough time and enough clarity to prepare well. That means sending the information — charts, keys, arrangement versions, stage plots — early enough for people to actually use it.
